The Learning Program Operations Specialist will work to operationalize Learning & Development departmental programs that will allow us to grow and scale our company. The ideal candidate will be a detail-oriented, get-things-done professional who can think strategically, adapt quickly, and rapidly earn credibility and trust with all levels of the organization. Learning Program Operations Specialist III
Summary:
The Learning Program Operations Specialist will work to operationalize Learning & Development departmental programs that will allow us to grow and scale our company. Job Responsibilities:
- Execute the day-to-day operations of our L&D Learning Vendor Management programs
- Compile, validate, and organize data using sheets and create standard reports
- Create standard operating procedures and document processes
- Identify opportunities to optimize and make programs consistent globally while balancing the business need for flexibility
- Understand and apply program strategies to decision making and proposals
- Execute standardized program reporting to deliver insights program managers
- Manage operational impacts of new programs or changes to existing programs
- Manage and escalate risks and issues and collaborate with cross-functional partners on resolution
- Make recommendations and create proposals on program changes and conduct cost/benefit analysis of potential operational improvements, as well as day to day decisions
- Create standard operating procedures and document processes
- Work closely with remote staff effectively and drive consistency of global processes
- Exercise independent judgment and discretion while utilizing company policies and practices to determine appropriate action
- Program Delivery SOWs, POCs, and amendments to SOWs and POs. Close POs as needed. Work closely with Guided Buying and Payment Operations to resolve SOW-PO-Invoice discrepancies.
- Track and validate the faculty vendor Purchase Order and invoices against the budget, work with Learning Operations to resolve discrepancies, answer vendor POC invoice questions.
- Create POs for dedicated sessions. Ensure that these sessions are not duplicate billed to the program delivery POs.
- Collect and aggregate data in preparation for quarterly business reviews with the vendors.
- Track and maintain the faculty certification data. Communicate with vendors who conduct faculty excellence observations, the vendor POCs, and the facilitators and producers to deliver certification schedule, status updates, and reports.
- Manage permissions access to L&D Learning documents for our faculty vendors and internal partners.
- Manage the learning content to ensure the latest versions are available and distributed.
- Reply to Faculty Workplace and email group communications in a timely manner, according to the faculty vendor communications templates.
- Update and maintain the central hub (page to be created) with team and faculty information.
- Update and maintain the faculty vendor data master database.
- Experience in customer service, communication and cross group collaboration
- Experience with executing the contract - purchase order - invoice process and tracking invoices against the PO and budget
- Experience in analysis, data management and reporting
- Comfortable working through ambiguity and uncertainty in a fast paced, ever-changing work environment
- Experience in project management, process execution, process improvement, and problem solving
- Experience working in a team environment as well as independently, with minimal supervision
- Experience with time management, attention to detail, and multitasking
- Experience working across various levels of the organization, while building trust and fostering collaboration
- Experience with Google’s suite of products (docs, sheets, slides), and MS Office (Word, Excel, Outlook, PowerPoint, Access)
- Data analysis acumen
- Experience in L&D Program Operations
- Experience managing an outsourced vendor relationship
- Bachelor’s degree
- 5+ years of experience in L&D or HR Operations
