Summary:
We are seeking a highly organized and detail-oriented Project Coordinator to join our team. The successful candidate will provide Project Coordination and Administrative support to the management team, ensuring the smooth operation of day-to-day activities. This is an excellent opportunity for someone who is looking to work in a fast-paced environment and to support Project Managers to allow focus on strategic initiative.
Responsibilities:
- Provide project coordination and administrative support to the construction site team, including the Project Director, Construction Managers, and other staff members
- Manage and maintain accurate records, files, and databases
- Coordinate travel arrangements, meetings, and appointments as required
- Prepare and distribute reports, documents, and correspondence as needed
- Maintain confidentiality and handle sensitive information with discretion
- Provide exceptional customer service to clients, visitors, and colleagues
- Perform general administrative tasks, such as photocopying, scanning, and binding documents
- Liaise with suppliers, subcontractors, and other stakeholders as necessary
- Monitor and order office supplies, stationery, and equipment as needed
- Maintain a clean and organized workspace, adhering to health and safety standards
- Attending and pulling documentation for weekly reviews for project; they may lead these calls at times
Requirements:
- High school diploma or equivalent required; post-secondary education in business administration or a related field is an asset
- 5-10 years of experience in an project coordination and/or administrative role, preferably in the construction industry
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace
- Excellent communication, organizational, and time management skills
- Ability to work independently and as part of a team
- Strong attention to detail and ability to maintain confidentiality
- Must be able to adapt to changing priorities and deadlines in a fast-paced environment
Working Conditions:
- Work is performed on a construction site, which may involve exposure to varying weather conditions, noise levels, and physical hazards
- Must be able to wear personal protective equipment (PPE) as required
